1. Who this policy covers
This policy applies when you visit tenfo.ai, use the public Tenfo demo, request a pilot, or book a walkthrough. In this policy, “Tenfo,” “we,” “us,” and “our” refer to the team operating these services.
2. Information we collect
We may collect the following information:
- Contact details: your name, email address, WhatsApp number, and optional contact preference.
- Business details: your fitness brand, branch or location, the teammate you select, and information you share about your workflows or goals.
- Demo content: messages, voice input, transcripts, simulated actions, and demo results generated while you use the experience.
- Booking information: details you provide through the embedded Cal.com scheduler.
- Technical and usage information: page views, referrer, general location, device and browser type, request timing, and IP address where needed for hosting, security, bot prevention, and rate limiting.
- Public business information: publicly available information about the brand and location you enter, used to make the demo more relevant.
3. How we use information
We use information to:
- create, secure, and personalise the public demo;
- provide AI-generated conversations and simulated actions;
- respond to pilot requests and booked walkthroughs;
- where you opt in, contact you by email or WhatsApp about pilots and relevant Tenfo services;
- understand site usage and improve the experience;
- prevent abuse, enforce limits, and protect the service; and
- meet legal, regulatory, and record-keeping obligations.
You may withdraw marketing consent or ask us to stop promotional follow-up at any time. Service messages related to an active request may still be necessary to complete it.
4. How the public demo handles your data
Starting a demo creates a lead record containing your contact and business details. A temporary signed demo session also carries the details needed to run the experience and expires after two hours.
Text conversations are processed to generate replies. If you choose voice, your microphone audio and transcript are processed to run the call. The CRM, calendar, messaging, and payment actions shown in the public demo are simulations; they do not update a real studio system.
Please do not enter sensitive personal data or real member information into the public demo.
5. Service providers and disclosures
We use service providers to operate Tenfo. Depending on which feature you use, information may be processed by:
- Airtable for lead and pilot-request records;
- OpenAI for text generation and demo personalisation;
- Deepgram for optional voice conversations;
- Exa for public business-information searches;
- Cal.com for scheduling walkthroughs;
- Cloudflare Turnstile for bot and abuse prevention;
- Vercel for hosting and privacy-focused site analytics; and
- Upstash for rate limiting and service protection.
These providers process information for us under their own service terms and privacy commitments. We may also disclose information where required by law, to protect rights or safety, or as part of a reorganisation or transfer of the business. We do not sell personal data or use it for third-party advertising.
6. Analytics, cookies, and embedded services
Tenfo uses Vercel Web Analytics for aggregated information such as page views, referrers, device type, and general location. Tenfo does not use advertising cookies.
Embedded services such as Cal.com and Cloudflare Turnstile may use cookies, local storage, or browser signals as needed to provide their features and prevent abuse. Their handling of that data is also governed by their own privacy policies.
7. Retention and international transfers
Temporary demo sessions expire after two hours. Other lead, booking, security, and request records are kept only for as long as reasonably needed to respond to you, operate and improve Tenfo, maintain business records, resolve disputes, and meet legal obligations. We then delete or anonymise them where practicable.
Our providers may process information outside Singapore. Where required, we take reasonable steps to ensure overseas recipients provide a standard of protection comparable to applicable data protection requirements.
8. Security
We use reasonable administrative, technical, and organisational safeguards designed to protect personal data. No website, transmission method, or storage system is completely secure, so we cannot guarantee absolute security.
9. Your choices and rights
Depending on applicable law, you may ask to access or correct your personal data, withdraw consent, object to particular uses, or request deletion. Withdrawing consent may mean we can no longer provide a demo, respond to a request, or contact you about Tenfo.
We may need to verify your identity before completing a request, and legal exceptions may apply.
10. Children and policy updates
Tenfo is a business service and is not intended for anyone under 18. We may update this policy as the product, providers, or legal requirements change. The effective date above shows when the current version took effect.
